Exhibitors receive three (3) complimentary booth staff per 100 sq feet of booth space. Each additional booth staff is $40.00 per person. ACCESS exhibitor registration.

Exhibitor certificate of liability insurance is required for all exhibitors. A requirement of exhibiting at the POWER-GEN International is for ALL exhibitors to carry liability insurance throughout the Exhibition. The deadline for submitting the Certificate indicating adequate insurance coverage is November 2, 2018. Exhibitor's insurance carrier must issue such Certificate of Liability Insurance. PennWell does not require a certain form. * Even if Exhibitor hires a Non-Official Exhibitor Appointed Contractor (EAC), Exhibitor still must supply its own Certificate of Liability Insurance. *(See EAC page) If you are using an EAC please remember to submit your form to Freeman.

If an exhibitor plans to use a contractor other than Freeman to unpack, erect, assemble, dismantle, or pack displays and/or equipment, or wishes to appoint a contractor to perform other services (except those for which no exception is allowed), the following regulations and procedures apply:

  • The exhibiting firm must send notification of their selected contractor to Freeman by November 2, 2018 (notification from the exhibitor's contractor is NOT acceptable).
  • Prior to November 2, 2018, furnish Freeman with the name of all contractors, including address, phone number and primary contact person, the name(s) of the contractor's on site supervisor(s), and the nature of the services being performed.
  • The non-official exhibitor appointed contractor (any contractor who will be performing services for the exhibitor in the Orange County Convention Center) must provide Freeman with a proper Certificate of Insurance by November 2, 2018. NO EXCEPTIONS AFTER THE DEADLINE DATE. Also, the contractor must provide PennWell with a list of other clients the contractors will serve.
  • All non-official exhibitor appointed contractors must abide by the Union Jurisdiction in force and observe the facility's regulations and POWER-GEN 2018 Rules and Regulations. Wristbands must be worn at all times. 
  • All non-official exhibitor appointed contractors will be permitted to maintain their check in desk and service desk only within the confines of their clients' display space, and shall not maintain a desk in the aisle of the POWER-GEN 2018 exhibitor floor. Freeman may provide an area for ladder and job box storage.
  • Freeman has been deemed the offical cleaning contractor. Outside contractors or exhibitors will not be permitted to provide cleaning service to their contracted booth space.

Daily Parking Rates for OCCC Parking Lots for Exhibitors

The OCCC accepts cash, traveler's checks, American Express, MasterCard and Visa.

  • A $15.00 parking fee will apply to passenger vehicles.
  • A $25.00 parking fee will apply to oversized vehicles.
  • After 5 p.m., discounted parking rates apply.

After paying the daily parking charge, exhibitors with appropriate show credentials and their original receipt for that day's parking have unlimited in and out parking access within each 12-hour day should spaces be available.

Freeman is the General Contractor for POWER-GEN International

Exhibitors may deliver their own materials into the exhibit facilities; however, the use or rental of Freeman dollies, flat trucks or other mechancial equipment is not permited.  Freeman will control access to the loading docks in order to provide for a safe and orderly move-in/out. Charges for Freeman's help are shown on the Material Handling Service and Rates Form.  If Freeman must move the show into, out of or both into and out of the hall during overtime hours, then you will be charged the overtime fee in addition to the regular CWT charge.

Speakers should be in the room where they are scheduled to speak at least 30 minutes before their presentation to download their presentations onto the computer in the session room BEFORE the session starts.

Speakers must bring their presentation with them to the conference on a memory stick. The presentation should be downloaded to the desktop on the computer in your session room and accessed from there. Your presentation will not be uploaded for you and the on-site computers are not networked.

This is entirely up to your session chair. Confirm when your session chair contacts you prior to the event. 

Screen, projector, podium microphone, laser pointer and a desktop computer.  

No. All speakers using a PowerPoint presentation must bring their presentations with them to the conference on a memory stick.  30 minutes prior to the start of your session, go to your session room and drag your presentation onto the desktop on the computer in the room.  When it’s your turn to speak, all you have to do is click on your presentation!

Handouts are not required, however, attendees do appreciate all of the information they can get.  You may make copies of your presentation to place on the table in the back of your session room before your session begins.  25 – 50 copies should be sufficient and, please, no marketing materials!

One speaker per paper and each speaker participating in a panel discussion will receive complimentary conference registration to the event.  Conference management will register you for the conference – you do not need to do anything!

Your complimentary conference registration includes:  access to the POWER-GEN International, NUCLEAR POWER International, Renewable Energy World International and COAL-GEN exhibit hall; Keynote Session; Plenary Session; Mega-Sessions, all POWER-GEN International, NUCLEAR POWER International, Renewable Energy World International and COAL-GEN conference sessions; two delegate luncheons; exhibit hall receptions; and access to the Online Conference Proceedings.

Your registration does not include any ancillary events such as Technical Tours, Golf Tournament, Competitive Power College Pre-Conference Workshops or Networking Breakfasts.

We have found the internet in most convention centers to be unreliable for use in making presentations and therefore internet will not be made available in session rooms.

Yes.  The Speaker Ready room will include the same AV equipment that will be available in your session room to review your presentation and make changes if necessary.  The location and times available for the Speaker Ready Room are as follows:

Yes.  The PowerPoint slide template was emailed to all speakers and is required for a minimum of the first and last slides of your presentations.  All presentations that did not use the template will be returned for revision.

Your session chair should contact you by mid-October to introduce himself and discuss the format of the session.  Please feel free to contact your session chair if you do not hear from him by this date or at any time if you have questions.  Your session chair’s name, title, company, phone number and email was included in the email sent to you when your abstract was accepted for presentation.

Tap on the Summit Info from the Dashboards app screen to view the complete list of sessions.

You can view the schedule by swiping left and right and scrolling up and down for sessions sorted by day and time.

Search for sessions by keyword using the search bar at the top of screen.

Save a Session

There are two ways you can save a session: 

  • When you see a session title that interests you, tap on the star next to that listing.

          OR

  • From the session page, select "Add Session" to save it to your planner.

Search for Exhibitors by Company Name

Exhibitors are shown in two lists: “All Exhibitors” and “By Product Category”.  Click on a product category to view a list of the exhibitors in that group. 

The “All Exhibitors” tab lists all the current exhibitors in alphabetical order. The “By Product Category” tab lists the product categories and the number of exhibitors who have selected each of these. 

Search Exhibitors by Keyword

You can search for exhibitors by typing a keyword in the search box at the top of the Exhibitor list screen.  The results will include all exhibitors that have this keyword in their company name, profile, brands or product categories.

Each exhibitor listing has their booth number(s) displayed below their name. An exhibitor listing may have a video icon which indicates that they have uploaded multimedia content. 

Save an Exhibitor to Favorites

From the Exhibitor list or any exhibitor's eBooth profile, you can add the exhibitor as a favorite to your personalized planner by clicking on the star icon.

Exhibitor eBooth Profile

You can visit the eBooth for any company by clicking on their name in the Exhibitor list.  You will see the company’s contact information, description, product categories and videos they have uploaded.  To play the video on your device, just click on the video. From this screen you can add the exhibitor as a favorite to your Personalized Planner by clicking on the star icon. You can also view the location of their booth on the floor plan by clicking on the “Map it” button.  The exhibitor’s booth will be highlighted on the floor plan.

You can view the interactive floor plan by clicking on the Maps icon in the app dashboard. 

The Main Map will highlight booths belonging to the exhibitors that you have added to your Personalized Planner. You can also view an exhibitor’s profile from the map view by clicking on their booth.

How to find your location on the interactive floor plan:

1. Click on the Locate Me button at the bottom of the interactive floor plan.

2. Enter a nearby exhibitor's name and then click Search.

3. Click on the listed exhibitor's name, a marker will appear on the map to indicate where you are currently located on the show floor. 

From the app menu dashboard, select Planner app icon. From here you can manage the lists of exhibitors, sessions and personal meetings that you have added to your Personalized Planner.

Saved Exhibitors

Click on "My Exhibitors" to see your list of saved exhibitors.

Saved Sessions & Meetings

Click on "My Itinerary" to see your schedule by day. This section will include all of your saved sessions and the personal meetings you created in the mobile app. 

Add Session to Mobile Device's Calendar

From the session screen, select "Add to Device Calendar" to save the session in your device's calendar.

Add a Personal Meeting

From the Planner section, tap on the calendar icon at the bottom of the screen. Select your desired day and time

and add any notes.

Remove a Saved Exhibitor or Session

Tap on the star next to the Exhibitor's Name or Session title to remove the listing from your planner.

From the app menu dashboard, select the My Notes app icon. You will see a list of your session and meeting notes.

To add a note, tap on the "pencil" icon on the bottom of the screen.

To edit one of your notes, tap on the "folder" icon on the bottom of the screen to see more details.

To email the notes to yourself or a contact, tap on the arrow in the bottom left corner.

My Profile
After you have logged in to the attendee networking feature, visit the "My Profile" link in the upper right corner of the screen. Complete your profile with as much detail as you would like. The more details you offer the easier it will be for other attendees to find you. 
Create Favorites

Once logged in to the attendee networking feature, click the star icon beside any attendee's name to add them to your favorite list. Click the "star" tab at the top to see your list.

Scroll to the right to find the envelope button, tap the envelope button to send the attendee a message.

From the attendee list, click on an attendee's name to view their profile. You will see options to connect with them via email, social networks, and professional networks depending on what the attendee has chosen to display. To send an attendee a message, tap on the envelope icon.
